The Payment Gateway Onboarding Checklist

Most onboarding delays are avoidable. They come from mismatched names, a missing policy page or a website that does not describe what is being sold.

Get your entity details consistent first

The single most common cause of delay is a name mismatch. Your registration certificate, PAN, GST record, bank account and website footer should all show the same legal entity name. If they differ, expect a query.

Decide early whether you are applying as a company, LLP, partnership or proprietor, because the document set differs and switching mid-application usually restarts the review.

Prepare the document set

Requirements vary by provider and entity type, but the following covers most applications.

  • Business: PAN, certificate of incorporation or registration proof, GST certificate and the most recent filed return.
  • Address: a recent utility bill or the rent agreement for the operating address.
  • Banking: a cancelled cheque or statement showing the account in the entity's exact legal name.
  • Authorised person: PAN and an accepted identity document, plus a board resolution and beneficial-ownership declaration for companies.
  • Individual or proprietor: PAN, identity document, bank proof and a current photograph.

Your website is part of the application

Underwriters read your website. It should make clear what you sell, at what price, who is selling it and how a customer gets help. Several standard pages are effectively mandatory.

  • A refund and cancellation policy with real timelines.
  • Terms and conditions, and a privacy policy.
  • Contact information including a working email address.
  • Pricing that matches what your checkout will actually charge.
  • Your legal entity name, usually in the footer.

Describe your business the way an underwriter reads it

Be specific and accurate about your model: what you sell, whether you sell to businesses or consumers, your average ticket size, expected monthly volume, and whether you take payment before or after delivery. Long fulfilment windows and prepaid models attract more scrutiny, which is normal.

Do not understate a restricted activity to get through review. If it surfaces later, the account is usually suspended, which is a worse outcome than a slower approval.

What happens after you submit

Expect document verification, a website review, bank-account validation and, depending on your risk profile, a business or address verification step. Queries are routine rather than a sign of rejection; the fastest applicants are the ones who answer with complete information the first time.
